Recently Asked Questions

Will the old appointment system be shut down at the change?

Appointments Setup will become one of the new apps, and when it goes live, the management features in the old appointments system will no longer be available. There will be an overlap of the new and old appointments, but users will be encouraged to use the new appointments app, which offers additional features and benefits.

Will searches/reports/patient groups be affected when the change happens?

We are currently developing a new version of our reporting modules, which will be ready by December 2024. Until then, practices will continue to use the current Search and Report modules.

What training/support for Vision practices will be available when migrating to Vision Anywhere? When will Vision Anywhere be live?

Vision Anywhere is already on all practice desktops and is being used for business continuity, shared care, and cluster working. It will be ready for all consultations with EPS in September/Q3 2024. All practices will receive on-site training for the new modules, along with access to webinars, e-learning, and other resources.

Some practices use a significant number of guidelines. Will these be included in Vision+ templates for free?

Cegedim Healthcare Solutions already offers a variety of Vision+ templates in the template library. If we don't have a template that meets your requirements, we can create one for you if it doesn't already exist.

Can you provide detailed information on exact timescales for EPS?

CHS continues to develop the EPS module to newer specifications. Please refer to the diagram with features and timescales in the attached PDF for more information.

What is the planned release date for the new Vision system with EPS working?

The release of Vision Anywhere, which includes EPS and replaces Consultation Manager, will be ready for deployment by September 2024. You can find the 2024 Roadmap in the attached PDF for more details.

What training and support will be available for Vision practices during the migration to Vision Anywhere?

Cegedim has enhanced the migration package based on feedback and careful consideration. The updated training approach includes eLearning, onsite training for new modules, live and pre-recorded webinars with experienced trainers, practice-specific training (Appointments Support Session), a Migration Help Centre, and checklists and user guides. This improved offering aims to ensure that existing practices derive maximum benefit from the new modules and receive additional support from the Welsh training team.

Why is the new appointment system using an old consultation manager, and why wasn't this updated as promised three years ago?

We sincerely apologise for the delays in implementing the new appointment system, which involves developing Vision Anywhere (VA) to replace the Consultation Manager. We acknowledge that it's taking longer than expected. Several factors contributed to this delay, but we've seen consistent releases of VA over the past year, with more versions planned for this year. Cegedim remains confident in meeting the timelines outlined during the roadshows, with a plan to release new modules over the next 24 months. We showcased some of VA's capabilities during recent webinars, including the 'WorkHub' module, aimed at streamlining workflow and saving clinical staff time. We appreciate the valuable feedback received on these developments.

Is the new Docman the standard Docman 10 or a customised Vision version?

Initially, Docman 7 will serve as the core Document Management Solution (DMS) on Day 1. Docman 10 will also be available for purchase if practices, clusters, or LHBs prefer it. This approach remains unchanged. Furthermore, Cegedim plans to offer an alternative DMS in 2024, following assurance processes. It's worth noting that during the mini-competition, suppliers were restricted from demonstrating software that wasn't fully assured at the time. This new software will be ready for practices to use in Q2 2024 as an alternative to DOCMAN 7. We aim to showcase and demonstrate this software before the end of 2023.

What's the status of the EPS work, considering EMIS appears to be ahead?

Cegedim is focused on developing the EPS module within our Vision Anywhere solution, aligning with the new specifications released. We anticipate completion by Q1 2024, pending assurance from relevant bodies, and expect delivery to practices by Q3 (once full assurance is obtained). These timelines are complex, as Cegedim requires assurance for VA first. All releases must undergo NHS England's assurance process before deployment in Wales, including DHCW's assurance for Welsh-specific requirements. Cegedim maintains strong relationships with national bodies and is working diligently on this. Additionally, for EPS to work effectively in Wales, pharmacy suppliers must also have their software ready.

Can you please remind practices about the training they'll receive if they continue with Vision?

Cegedim has enhanced the migration package based on feedback and careful consideration. The updated training approach includes:

  • Onsite training to cover new modules
  • Live and Pre-recorded webinars with experienced Cegedim Healthcare Solutions Trainers

We believe this improved offering ensures that existing practices receive maximum benefit from the new modules and additional support from the Welsh training team.
What are the benefits for our clusters if we continue to use Vision?

The Vision Shared solution is highly comprehensive and meets all cluster needs. Many clusters across the country already use these modules daily, enhancing the patient experience and journey. Notably, the API provided by other clinical suppliers has limitations, preventing the viewing of all data in the shared record. Currently, there is no charge for Vision sites to use the shared care solution, while EMIS practices have to pay an annual fee for API licenses. Cegedim offers an attractive proposition: if Cegedim achieves a market share of 50% or more during the new contract, the shared care solution will be provided free of charge to all practices in Wales. This substantial cost-saving opportunity benefits all practices, offering a market-leading shared care solution that enhances both staff and patient experiences.

Vision Anywhere provides a powerful Business Continuity service in the unlikely event of your clinical system being unavailable, allowing you to continue your consultations by accessing and recording clinical data. Any information recorded is automatically upload to your clinical system when the issue is resolved. The Appointment app also backups your appointment information to your chosen local desktops, thus allowing the practice to printout appointments lists for the reception and clinical teams.

This video will take you through how Vision Anywhere for Local Business Continuity enables your clinical team to continue to consult with patients in the unlikely event of your clinical system being unavailable.

While Vision Anywhere is working, a local cached copy of each patient record from your appointment list within the next 7 days will be securely downloaded. Should your clinical system be unavailable you can then read and write clinical data, automatically restored when the system back up and running.

Remember, if there is a local power outage you can also use our mobile versions of Vision Anywhere, available for your charged iOS and Android devices (phone and tablet), allowing access to patient’s records (via mobile data connection) until your power is restored.

We understand that contemplating a change in your clinical system can be stressful and anxiety-inducing. Our primary goal is to ensure that your transition to Vision is a positive and seamless experience, causing minimal disruption to both you and your patients.

Migration and Training

Cegedim offers a comprehensive migration and training approach that combines online learning with instructor-led webinar and on-site classroom-based training. This blended approach caters to different learning styles, allowing for in-depth education in manageable portions and providing flexibility for individuals to learn at their own pace, anytime and anywhere. Training is contextualized and task-based, ensuring that it is specific to each end-user.

For practices already using Vision, no data migration is required. Our training approach focuses on enabling all practice staff to effectively utilize the new aspects of the system for their day-to-day responsibilities. As part of the service offering we will include 2 days webinar training specifically covering the new Appointment and Tasks app and access to our eLearning courses. 

For practices migrating to Vision, we understand the importance of the migration and training process and we have a tried and tested 12-week migration process. 

The data migration starts with an initial engagement day, where you gain access to trial data conversion and receive training on the data checking process, including the use of code and drug mapping tools. The trail data system is also available for staff to use for training.

We offer a hybrid training approach, combining eLearning, webinars, and on-site training for the practice. Staff initially undergo Learning Zone eLearning courses to prepare for the new system, with assessments to check understanding and competency. In the weeks leading up to the go-live, we provide two webinar training days to reinforce knowledge gained from eLearning. On the go-live week, the trainer is on-site training for two days to support the practice with system setup and implementation tasks and on the go-live day to provide floor-walking support and address queries from staff at all levels. To provide continued support, two follow-up training days are scheduled within the following months plus a day for Docman training. These 8 days will be provided as part of the core offering.

The final data conversion typically takes place over a 6-day period, including weekend work, to minimize downtime during the migration process.

Shared Care: Does Vision Anywhere read and write back to EMIS web?

Yes it does. Clinical Data entered is sent back to the clinical record in the correct data structure

Can I send SMS messages to individual patients via consultation manager?

Yes, you can

The Vision+ templates look great, can I create my own?

Yes, you can

I liked the solution in terms of business continuity but can you please explain how the patient records are downloaded if we need to use it offline?

When using Vision Anywhere for Business Continuity, once you log into Vision Anywhere, the records for patients in your appointments list, for 7 days either side of today, are automatically downloaded by the app. Remember too, that should you have a power outage at your surgery, Vision Anywhere for your mobile device can be used to access patient records using your device's mobile data.

Does Vision enable you to effectively handle issues related to clinical conditions?

Consultation Manager has comprehensive Problem orientated medical records (POMRs) and these enable you to:

• Create a defined database of information to display relevant information.
• Create a problem list defined by your patient's needs.
• Form initial plans of action for each problem with a view of a patient's other problems.
• Progress records on each problem documenting:
• Follow-ups.
• Changes in management of condition.
• Final Progress/Discharge details.

The main advantage with a POMR is the ability to be able to see all actions and coding relevant to a specific area of interest within the patient record. This is particularly useful for Locums and Community Staff.

Vision also has an extremely powerful ‘Problem Populate’ tool. This tool allows you to search for a condition, say low back pain, and then populate a problem in all relevant patient records with practice defined data such as therapy, history, follow up actions etc.

Are intellisense licences covered under the core system when an EMIS practice moves to Cegedim?

Yes the licences are free when a practice migrates.

Can I send an Ad-hoc text message direct from the patients’ medical record?

Yes, you can send text messages direct from Consultation Manager and also from Vison Plus

Does Vision have a built in spell checker in the consultation software?

Yes, and the spell check also includes medical lexicon.

Can I view cluster appointments with my practice appointments book?

Yes, you can set the appointment books so you can view your own practice appointments but then toggle to the shared service or Cluster clinic appointments.

Do Cegedim Healthcare Solutions still have Account Managers in all areas of Wales?
